Job Description

• Manage the Events Calendar and remind related parties on events and meetings.

• Ensure MOM of all meetings is completed in 2 days and properly filed and distributed.

• Keep an updated copy of Company Profile and Presentation

• Ensure all Monthly Reports from all Division is submitted by the first week of the following month for review by the DCEO. Ensure the reporting completeness.

• Organize the Monthly SMT meeting and prepare minutes.

• Ensure all Monthly Reports from all subsidiaries is submitted by the first week of the following month. Ensure the reporting completeness.

• Organize Monthly update meeting of the subsidiaries (1-1) with CEO and DCEO.

• Keep track of attendance of all operation staff.

• Keep track of all leaves. Institute leave planning.

• Prepare Monthly Operation report.

• Prepare and compile BOD paper.


Job Requirements

Good to have:
• Preferably from management consulting/tech company
• Bachelor’s degree or equivalent experience with social sciences background and an interest in national and global issues.
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Five to ten years providing support for upper-level management in a related organization (i.e., population, social sciences, public health).

Skills & Abilities:
• Good communication, customer service, and relationship-building skills
• Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, subsidiaries, external partners and subcontractors.
• Previous experience working with similar industries.
• Proficiency in Windows, including MS Word, EXCEL and PowerPoint; Time management systems knowledge helpful.
• Ability to learn new software to support the DCEOs office functions such as Time Management software and Presentation preparation software.
• Ability to conduct research and present data in a succinct and well-written manner.
• Ability to work independently and with professional discretion.
• Excellent writing, editing, grammatical, organizational, and research skills.
• Knowledge of other languages and international customs is an asset; knowledge of French or Spanish is good to have.
• Excellent teamworking, management, negotiation, time-management, and problem-solving skills.

• Due to the confidentiality of the work, the functions of this position should be performed in a private office location. Occasional travel may be involved.
